Job Specification

Mokkingbird are looking for a Junior Talent Coordinator to support our busy team of Talent Mangers. We are looking for a highly organised individual to carry out administration and logistical tasks to assist the wider team.

The candidate will be a motivated team player with a keen eye for detail and the ability to manage (and complete) multiple tasks, simultaneously, to an exceptional standard. 

 

Purpose and Overall relevance for the Business

To provide logistical support the Mokkingbird Talent Managers and Directors:

  • General secretarial / admin duties
  • Working alongside and assisting Talent managers, directors and senior members of the team to provide comprehensive assistance with their daily duties including word processing, diary management (specifically Google calendar), email management, arranging meetings, booking travel and accommodation
  • Co-ordinate effective flows of communication between the entire Mokkingbird team, brand partners and clients
  • Managing client logistics for jobs, photoshoots and events including call sheets, travel, accommodation, timings, stylists, hair and make-up
  • Organising gifting for clients
  • Prepare agendas for regular team meetings, take minutes and ensure that any issues raised have the appropriate action follow up
  • Able to curate emails and identify from correspondence and telephone messages which issues can be dealt with by other Mokkingbird members and allocate tasks as appropriate, without referring back to the Directors
  • Monitor administration systems to ensure that the processes and practices meet the support of the Managing Directors
  • Book and arrange couriers when required
  • Using data analytics to read insights, identify trends, analyse campaigns and report back to the team
  • Writing and editing copy for the website, social media and client pitches.
  • Ability to prioritise tasks, time manage and respond to fast-paced business needs
  • Strong IT skills to include Word, Microsoft, Excel, Outlook, PowerPoint, Keynote, Gmail, Google Drive and Google calendar. File sharing and diary management is a key part of this role so a strong understanding of Google Drive and Google Calendar is essential
  • Staying up to date with general industry awareness of emerging new platforms, potential clients and brands

 

Knowledge, Skills and Abilities

  • Excellent GCSEs
  • Self-motivated, reliable, calm and positive
  • Excellent oral and written communication skills
  • Excellent interpersonal skills. Client facing and relationship building experience are essential
  • Highly organised and strong attention to detail
  • Efficient and able to work to meet deadlines.
  • Must be able to work quickly in a fast-paced environment and think on your feet
  • An ability to multitask and remain calm under pressure
  • Ability to work collaboratively with a team
  • Ability to demonstrate a ‘can-do’ attitude, embracing our ‘all-hands-on-deck’ approach at all times
